Finance overview

Budgets, spend requests, reimbursements and dues on one page

The Finance overview is the first page you see when you open Finance. It shows where your chapter's money stands across Budgets, Spend Requests, Reimbursements and Dues without opening each one.

Where to find it

On the web, click Finance in the sidebar. In the iOS and Android apps, open Apps and tap Finance.

Below the cards you'll find a tile for each Finance app your chapter uses: Budget, Spend Requests, Reimbursements and Dues.

What each card shows

The cards change with your role. Treasurers and other officers see the chapter's numbers. Members see only their own.

Budgets

  • Officers who can manage budgets see the total spent against the total of all goals, plus how much is committed. The card lists the three budgets that are closest to their goal. Each one shows how much is left, or how much it is over.
  • Members see only the budgets they own, such as a committee chair's Rush Week budget. If they don't own one, the card is hidden.

Tap a budget to open it. See Setting up budgets.

Spend Requests

This card only appears when there are requests waiting for a decision.

  • Approvers see how many requests need a decision, with the newest ones listed.
  • Members see their own requests that are still waiting.

Tap a request to open it without leaving the Finance page. See Spend requests and Approving spend requests.

Reimbursements

  • Reimbursement admins see how many receipts need approval, how much is pending, and how much is approved but not paid yet. The three newest pending receipts are listed.
  • Members see how much the chapter owes them for approved receipts and how many of their receipts are pending.

See the Reimbursements overview.

Dues

  • Treasurers see how much has been collected, how much is still outstanding and how many members are overdue. If online payments aren't set up yet, the card says so and links to Finish setup.
  • Members see what they owe and when it's due, with a Pay button, or "You're all paid up".

See Setting up dues and Paying your dues.

Why a card is missing or asks you to set something up

Whether you see a setup prompt or no card at all depends on your role.

  • Budgets is turned off: chapter admins see Turn on Budgets. Officers who manage budgets see "Ask your chapter admin to turn on Budgets." Everyone else doesn't see the card.
  • No budgets yet: officers who can create budgets see Create your first budget.
  • Reimbursements is turned off: chapter admins see Turn on Reimbursements.
  • No receipts yet: you'll see Submit a receipt.
  • Dues isn't on yet: treasurers see Collect dues online.
  • No dues charge published yet: treasurers see Create your first charge.

If none of the cards apply to you, the page says "Nothing to show yet. Your treasurer hasn't set up finances." The Finance app tiles are still there.

If a card can't load, it says so and shows a Retry button. The other cards keep working.

Turning on Finance features

A chapter admin turns each part on:

1. Open Admin → Chapter setup → Features.

2. In the Finance section, turn on Budget, Reimbursements or Dues.

Spend Requests needs both Budget and Reimbursements turned on, and at least one budget to ask against.

Common questions

Why do I see different numbers than our treasurer?

The overview only shows what your role can see. Members see their own receipts, requests and dues, and only the budgets they own. Officers see the chapter's totals.

Do the numbers update on their own?

Yes. Each card refreshes when you open the page, and it shows the same figures as the app it links to.
