Setting up dues

Turn on Dues, connect Stripe, and bill your first charge

This guide walks a treasurer through Dues from the first request to the first card payment. The slowest part is Stripe verifying your chapter, which usually takes 1–2 business days.

What you'll need

  • A chapter Admin account, or a role with the Dues Admin permission. Connecting Stripe, changing reminder settings, recording cash payments and issuing refunds all need it.
  • Your chapter's bank account details and the information Stripe asks for to verify who is accepting payments.
  • The amount you want to bill and, if you have one, a due date.

Step 1: Turn on Dues for your chapter

Dues is turned on chapter by chapter. Until it is on, everyone who opens Finance → Dues sees a "Coming soon" page.

To ask for it, do one of these:

  • Open Finance → Dues and click I'm interested.
  • Open Chapter setup → Beta features and click Request access next to Dues.

The button changes to Requested, and the Greek Connect team will reach out to get your chapter set up. Only officers who can manage dues see the button. Other members see a note asking them to talk to their treasurer or an admin.

When Greek Connect turns Dues on, chapter Admins and anyone with the Dues Creator or Admin permission get an email and an inbox message. From then on, Finance → Dues opens the dues home page.

Step 2: Check who can do what

Dues has its own permission in Admin → Roles. Open a role, find Dues, and pick a level:

  • None: can't see Dues at all.
  • User: can see and pay their own dues on My Dues.
  • Creator: can create, edit and assign charges, open a charge, remove members who have no payments or adjustments on the charge, and see the board for every charge.
  • Admin: everything a Creator can do, plus connecting Stripe, reminder settings, recording cash or check payments, sending reminders, adjustments, refunds, payment links, and removing members who have a payment, refund or adjustment on the charge.

What each role gets when Dues is turned on:

  • Admin (the built-in chapter admin role): full access.
  • The default officer role: Creator.
  • The default member role: User.
Check your custom roles. A custom role only gets Dues if you add it. If a role has Dues set to None, members in that role can't open My Dues, so they can't see or pay what they owe. Give every role that owes dues at least User.

If your treasurer is not a chapter Admin, give their role Dues Admin so they can connect Stripe and handle payments. Creator alone is not enough for those steps.

Step 3: Connect Stripe

Card payments go through Stripe. Money is paid into your chapter's own Stripe account and from there to your chapter's bank account. Card numbers never pass through Greek Connect.

1. Open Finance → Dues.

2. In the Set up payments to collect dues box, click Set up payments.

3. Stripe opens. Enter your chapter's details and bank account. Most treasurers finish in about five minutes, and Stripe saves your progress if you stop partway.

4. When you finish, Stripe sends you back to the Dues page. Click Refresh status if the box hasn't updated.

What the box tells you:

  • Finish setting up payments: you left Stripe before finishing. Click Resume setup.
  • Almost there — a few details left: Stripe needs the items listed. Click Continue setup.
  • Stripe is reviewing your information: nothing to do. Reviews usually finish within 1–2 business days.
  • Stripe could not verify some information: each problem is listed with Stripe's reason. Click Update information.
  • Stripe connected — members can pay by card: you're done.

You can create charges and assign members while Stripe is reviewing. You just can't open a charge until Stripe is connected.

Already collecting donations? Dues uses the same Stripe account as Alumni Giving. If your chapter connected Stripe there, you'll see Stripe connected right away.

Only people with Dues Admin (or chapter Admins) see the setup button. Anyone else sees "Payment setup isn't finished" and a note to ask an admin.

Step 4: Create a charge

A charge is one bill, such as "Fall Dues", that you assign to members.

1. On the Dues page, click New charge.

2. Fill in the details:

  • Title, for example "Fall Dues". Required.
  • Billing period, for example "Fall 2026". Required.
  • Default amount: what most members owe. The minimum is $50.00 per member. You can set a different amount for individual members in the next step.
  • Due date: optional, but reminders are timed from it.
  • Description: optional. Members see it with the charge.
  • Fee payer: who pays the card processing fee. See "Who pays the processing fee?" at the end of this guide.
  • Status: leave it on Draft for now. A draft is not visible to members.

3. Click Create charge. You land on the charge's board.

The preview on the right shows what you're about to create, including the fee payer and your chapter's platform fee. The platform fee is set by Greek Connect, not on the charge.

Step 5: Assign members

On the charge's board, click Manage members. The left side lists who is already on the charge. Use Add members on the right to add more:

  • Individuals: tick specific members. Type an amount next to a name to bill that person something other than the default.
  • Pledge class: everyone active in one pledge class.
  • Visibility: pick member groups such as Members, Officers, Alumni or Inactive. Use this to bill a group the other options leave out, like alumni.
  • Whole roster: every active member (new members, members and officers).

Click Assign.

Careful when a charge already has members. Pledge class, Visibility and Whole roster re-assign everyone they match at the default amount, which clears any custom amounts you set for those members. To add a few people without touching anyone else, use Individuals.

To take someone off, tick them on the left and click Remove selected.

Step 6: Open the charge

Back on the board, click Open charge. The button stays disabled until Stripe is connected.

When you open a charge:

  • Every member who owes on it gets a push notification ("New dues: title"), an inbox message, and an email with the amount, due date and a View & Pay button.
  • Members can pay from My Dues.
  • Automatic reminders turn on the first time your chapter opens a charge, unless someone has already changed the reminder settings. See "Reminders" below.
  • The amount and fee payer are locked. You can still edit the title, description and due date.

Members you add after the charge is open are not notified automatically. Send them a reminder from the board (see the next step).

Step 7: Track payments

The board shows four totals at the top: Assigned, Paid, Partial and Unpaid, then one row per member with their status and balance.

Card payments show up on their own once Stripe confirms them. Each row has these actions for people with Dues Admin:

  • Record payment: log cash, check or another offline payment.
  • Send reminder: remind one member who still owes. A member can be reminded by hand once every 24 hours.
  • Adjust / refund: open the member's history. Add a waiver, credit or discount, or refund a card payment. Refunds can't be undone.
  • Copy payment link: a Stripe checkout link you can send directly. It expires in about 24 hours.

Remove from charge takes a member off the charge. Creators and Admins can remove a member who has no payments or adjustments on it, and the assignment is deleted. If the member has any payment, refund or adjustment (such as a waiver) on the charge, only an Admin can remove them, and the assignment is voided instead of deleted so the record stays.

Nudge all unpaid, above the list, sends a reminder to everyone who still owes.

Closing or voiding a charge

To stop taking payments, click Edit on the board and change Status to Closed. You can reopen it later. Void retires a charge for good. Delete only appears while no money has touched the charge.

Reminders

Chapter Admins and people with Dues Admin can change reminders at the bottom of the Dues page:

  • Send automatic payment reminders turns them on or off for the chapter.
  • Send at chooses when reminders go out. The default is 7 days before, 1 day before, 1 day after and 7 days after the due date.
  • Push notifications and Email choose how they're sent.

Reminders go only to members who still owe something. Until your chapter opens its first charge, the switch shows as off with the note "Reminders turn on automatically when you open your first charge." After that first open they're on. If you turn them off, they stay off, including for later charges.

Common questions

How long does Stripe verification take?

Usually 1–2 business days after you submit everything. You can create charges and assign members while you wait. Check the box at the top of the Dues page for anything Stripe still needs, and click Refresh status to check again.

Who pays the processing fee?

You choose per charge:

  • Member covers fee: the member pays the dues amount plus the card processing fee and any platform fee, and your chapter receives the full dues amount. Members see the total ("$X at checkout") on My Dues before they pay, and the breakdown under Show details.
  • Chapter absorbs fee: the member pays exactly the dues amount, and the fees come out of what your chapter receives.

You can't change the fee payer after the charge is open.

Why can't some members see their dues?

Their role probably has Dues set to None. Go to Admin → Roles, open the role, and set Dues to at least User. This most often happens with custom roles.

What do members receive?

When you open a charge: a push notification, an inbox message and an email with a View & Pay link. Before and after the due date: reminders, if they're turned on. After paying by card: an email receipt. Members who turned off Dues Reminders in their notification settings still get these emails and inbox messages, just not the new-charge and reminder push notifications. Payment-problem and refund alerts have their own switches in the same notification group.

Can I change the amount after opening a charge?

Not on the charge itself. For one member, use Adjust / refund to add a waiver, credit or discount. If the whole charge is wrong, void it and create a new one.

Where does the money go?

To your chapter's Stripe account, and from there to the bank account you entered during Stripe setup.
